Allentown Garden Club of New Jersey
Offices and Responsibilities
President
1. The President shall preside at all meetings.
2. The President shall have the power to call a meeting of the club at times other than the regularly appointed time.
3. The President shall be exofficio, a member of all committees with the exception of the nominating committee.
4. President may co-sign or endorse checks.
5. The President shall have the usual powers of supervision and management as may pertain to the office of the President.
6. The President shall preside at the Board of Directors meeting
7. The President shall supply the Newsletter/Yahoo Groups chairperson with the information that is needed to be communicated with the club members.
8. The President holds a key to the PO Box.
First Vice President
1. The First Vice President shall attend all Board of Directors meetings and, if necessary, shall be prepared to assume the role of President.
2. The First Vice President shall perform such other duties as the President may designate.
3. The First Vice President shall oversee the Club Committees (Administrative/Membership and Community Service) to provide guidance and to ensure progress is being made during the year.
4. Both Vice Presidents will receive assistance from the three Directors.
Second Vice President
1. The Second Vice President shall attend all Board of Directors meetings.
2. The Second Vice President shall perform such other duties as the President may designate.
3. The Second Vice President shall oversee the Club Fundraiser Committees to provide guidance and to ensure progress is being made during the year.
4. Both Vice Presidents will receive assistance from the three Directors.
Club Secretary
1. The Secretary shall keep minutes of all meetings of the Allentown Garden Club and all meetings of the Board of Directors.
2. The Secretary will read all incoming mail at the club's monthly meetings.
3. The Secretary will send any cards to members for various reasons.
Treasurer
1. The Treasurer shall collect all dues and notify in writing all members who are in arrears.
2. Upon payment by new members, the Treasurer will submit their information to the GCNJ.
3. The Treasurer shall be the custodian of these monies and shall deposit them in a bank designated by the Board of Directors. Currently, the club uses Sovereign Bank.
4. Disbursements shall be made according to the current budget, or upon order of the Board or Membership.
5. The Treasurer will keep current monthly Treasury reports.
6. The Treasurer will complete the annual paperwork for the Methodist Church (now done by the Program Chairperson).
7. The Treasurer will file the on-line submission of the IRS form (beginning 2008).
8. The Treasurer will purchase any gifts needed or delegate this responsibility.
9. The Treasurer holds a key to the PO Box and checks the mail regularly.
Board of Directors
1. The three appointed Directors would attend all Board of Directors meetings and be involved with decisions, future projects and strategic planning for the club.
2. The Directors will assist the Vice Presidents and shall oversee some of the Club Committees to provide guidance and to ensure progress is being made during the year.
Nominating Committee
1. The Nominating Committee will select and approach potential candidates for various offices.
2. The three members of the Nominating Committee are welcome to attend the Board of Directors meetings.
